The Organization    

The Folly Theater, a National Historic Register building on Kansas City’s Avenue of the Arts, opened in 1900 and is the city’s oldest performing arts venue.  The Folly presents world-class artists in its Jazz Series and Americana Series, an intimate listening room series featuring local singer-songwriters, and a Kids Series with performances targeted to school groups.  The theater also is home to diverse rental client events, including chamber music, classical concerts, dance, comedians, burlesque, and drag shows.

The Position    

The Business and Ticketing Manager is responsible for general office management, accounting, and ticketing services.  The Folly employs a small but mighty team.  All employees must work closely together to fulfill our objective of presenting world-class events in our historic venue that represent life experiences of our entire Kansas City community.

Key Responsibilities    

Office Manager Responsibilities:

  • Manage office equipment maintenance and service providers (phone system, copy machine, computers, IT support, internet service provider, etc.)
  • Coordinate office building maintenance with property management
  • Order office supplies
  • Maintain postage balance at an acceptable level at all times; manage updates on postage machine as needed
  • Coordinate logistics for board meetings, including correspondence, catering, etc.
  • All other duties as assigned

Accounting Responsibilities:

  • Manage Accounts Payable, including timely invoice recording and payments
  • Manage Accounts Receivable, including issuing and tracking invoices to school groups for Kids Series events
  • Coordinate bookkeeping with an outside CPA to maintain accurate records
  • Assist Events Manager with event and box office settlements as needed
  • Assist Executive Director, Board Treasurer, and outside CPA with programming, general operations, and special event budget preparation
  • Monitor budgeted income and expenses; report variances as necessary
  • Prepare financial reports, statements, and analyses as requested
  • Monitor all checking, investment, and credit card accounts, including receipt tracking, subject to the supervision of the Executive Director and Finance Committee

Ticketing Services Responsibilities:

  • Maintain the ticketing software (currently TicketSage)
  • Build performances in the ticketing software for all Folly-presented and select rental client events ticket sales; coordinate on-sale logistics
  • Keep all staff current regarding ticketing and event information
  • Produce regular ticket sales reports for in-house accounting needs
  • Provide ticket sales updates to rental clients per contractual agreements
  • Process box office deposits as needed
  • Schedule and supervise part-time box office staff
  • Prepare and process season ticket renewals
  • Maintain good data for all ticket holders
  • Coordinate data sharing between ticketing and development teams
Qualifications    

Skills needed for a successful experience in this position:

  • Bachelor’s degree
  • Three to five years office management experience
  • Experience with QuickBooks or similar accounting software
  • Proficiency in Microsoft Office products and CRM
  • Excellent verbal and written communication skills

The Box Office Representative provides telephone and in-person ticket sales services to Folly patrons and answers general telephone inquiries.  The position requires regular weekday hours and occasional evenings and weekends, based on the performance schedule.  The Folly employs a small but mighty team.  All employees must work closely together to fulfill our objective of presenting world-class events in our historic venue that represent life experiences of our entire Kansas City community.

Key Responsibilities    
  • Sell tickets to walk in and telephone customers
  • Work the box office (sales and will call) as needed
  • Answer general telephone inquiries
  • Assist Business and Ticketing Manager with ticketing software programming
  • Coordinate event on sale logistics with external clients and Folly staff
  • Print and mail ticket orders (daily)
  • Process ticket orders for Kids Series and manage communication with teachers and parents
  • Assist Business and Ticketing Manager with school invoices and payments for Kids Series
  • Process charity requests for tickets
  • Process complimentary ticket requests from artists, employees, and trade partners
  • Prepare and process season ticket renewals
  • Maintain good data for all ticket holders
Qualifications

  • Associates degree or equivalent work experience
  • Box office experience preferred
  • Proficiency in Microsoft Office products and CRM
  • Excellent verbal and written communication skills
